COPSystem On-Site Scoring Program

The ERAS COPSystem On-Site Scoring Software is designed to allow the user to score and profile the Career Occupational Preference System Interest Inventory (COPS), Career Ability Placement Survey (CAPS) and Career Orientation Placement & Evaluation Survey (COPES) using a computer, scanner and printer. The materials used with this software include COPS, CAPS and COPES Machine Scoring Forms, ERAS COPSystem Profile Paper and COPSystem Comprehensive Career Guides.

The software is a DOS program designed to run on an IBM compatible PC with at least 512 kilobytes of memory, mark reading scanner, and a wide-carriage dot-matrix printer.

(Known Software Bugs)

PROBLEM: When the program displays the number of free bytes on a disk the screen will appear to jump when displaying disk sizes over one gigabyte.

SOLUTION: This problem has been fixed, download from above chart.


PROBLEM: To output the scores to disk, the profiles must be printed at the same time.

SOLUTION: Sorry, there currently isn't any fix for this one. We do recommend,
if you want profiles on disk, that you output the scores to disk when printing the profiles so as not to waste paper. Please check the Print Options before printing. NOTE: A disk copy is only created when printing the entire file, not a selected record.


PROBLEM: Computers using the Intel Pentium II® processor may experience run-time error 200 when starting the COPSystem On-Site Scoring Program.

SOLUTION: This problem has been fixed. We cannot include all of the files for download from our web-site, but you may request a new diskette from EdITS free of charge.

PROBLEM: The program may exit abruptly and a run-time error 003 or 005 is displayed.

SOLUTION: This problem occurs when the Change Path option is entered incorrectly. Be sure that the directory indicated is a valid directory that exists on your computer.

INSTALLATION

The on-site scoring program can be copied onto the hard drive of your computer or simply run from a floppy disk. If you wish to run the program from a floppy disk then it is advisable to make a backup copy of the program disk to use and store the original in a safe location.

QUESTION: Do I need to install the on-site scoring program to a particular directory
for it to run?


ANSWER: No, but we do recommend that you create a directory named ERAS to
copy the files into.

QUESTION: Will the on-site scoring program run under Windows®?

ANSWER: Yes. The on-site scoring program has been successfully tested on computers running Windows 95®, and Windows 98®. The program will not run on Windows 2000® or Windows XP®.


PROBLEM: When I change the settings in the OPTIONS menu they are not saved over time when I exit and restart the program.

SOLUTION: This problem occurs when exiting from the OPTIONS menu using the Escape key. To have the settings remain, you must be sure to exit from the OPTIONS menu using the QUIT AND SAVE option. This will save the changes that you have made.

SCANNING

The recommended scanners are the NCS® OpScan Series, the Scantron® 8000 Series or Scantron® ScanMark 2250 and 2500 with two sided read capability. It is very important that the scanners be configured with the communication settings that are specified in the On-Site Scoring Documentation on page 5. Any other settings will cause the scanner to work improperly with the Onsite Scoring Program.

QUESTION: If I use my scanner to scan other documents will I have to reconfigure my scanner every time?

ANSWER: Yes. The scanner settings used for different scanning software can conflict causing the scanner to be unable to communicate with the computer or bad data to be read by the On-Site Scoring Program.

QUESTION: What are the the communication settings? How do I configure my scanner with the required communication settings?

ANSWER: The communication settings are what allow the scanner to correctly "talk" to the On-Site Scoring Program. The communication settings are different for both the NCS® and Scantron® scanners. Scroll down to see the Scanner Settings.

Completely fill in the appropriate bubbles for your scanner on the host port communications configuration sheet that you received with your scanner. If you do not have a host port communications configuration sheet, contact NCS® or Scantron® to obtain one. Then refer to your scanner's documentation to configure your scanner with the new settings.

PRINTING
A wide carriage printer is required to print the test summaries. A wide carriage printer is a printer that has an eighteen inch roller width. If a wide carriage printer is not used, then each line of print will wrap around to the next line of print. An extensive list of printer drivers is provided in the program to accommodate a wide variety of printers. If problems arise when setting up a printer, use the Epson® or IBM® printer drivers as most printers can usually emulate these printers.

It may be necessary to enter the print codes that are specific to the printer. This is done using the utility PRINT.EXE that is included on the On-Site Scoring Disk. Please refer to page 16 of the On-Site Scoring Documentation.

QUESTION: Can I view and edit the names of the examinees before printing?

ANSWER: Yes. We recommend that the information be reviewed using the EDIT feature in the program. The name, grade, sex, test date, and eighth test scores as well as some other fields that the examinee fills-in, can be viewed and edited if necessary. Grade and sex must be filled-in to print the correct results for each examinee.

QUESTION: How can I get a disk file copy of the scores?

ANSWER: When printing profiles using the PROFILE feature in the program you can specify whether or not to Output to Disk in the Options menu. The disk file can be saved either as a formatted or comma delimited text file. A file copy is created only when printed the entire file and not a selected record. Note: Paper must be present in the printer to write to disk. See BUGS.


PROBLEM: The profiles do not line up on the summary printouts when I print them.

SOLUTION: The first thing to do is adjust the paper up or down on the printer prior to printing. You may also need to change the default font the printer uses, as different fonts will print slightly differently. You may need to experiment with a few of the fonts to see what will work for you.

PROBLEM: I don't see my printer listed in the On-Site Scoring Program.

SOLUTION:Check to see if your printer can emulate one of the printers listed. If you can't use one of the printers listed, you will need to use the utility PRINT.EXE to add your printer to the list. In the utility you will need to add the printer codes which can be found in the printer manual.
